Self-Service Self-Billed Refund Note
A self-billed refund note is issued by the buyer to confirm a refund payment received from the supplier.
Important: Before creating a self-billed refund note, ensure that the selected outlet has a Short Name configured. Self-Service requires the Short Name and uses it as the document-number prefix.
Create a self-billed refund note
- Open Self-Service → Self-Billed Refund Note.
- Select Create Self-Billed Refund Note.
- Select the Supplier, Outlet Name, and applicable Original Invoices.
- Choose whether to use Auto-Generate Number. If it is off, enter the Document Code.
- Complete Document Date, Preferred Submission, LHDN Submission, Sale Type, Currency Code, and Currency Rate as applicable.
- Confirm the supplier email and select Create.
- Select Add Product/Item and add each refunded line.
- Review the footer totals and select Submit Refund Note.
The original-invoice selection establishes the billing reference. Confirm that it is the self-billed invoice related to the refund and belongs to the selected supplier.
Complete lines and totals
Verify each line's classification, category, item code, description, quantity, UOM, unit price, discount, tax type, tax rate, tax-exemption reason, and additional charges. Review subtotal, discounts, charges, rounding, tax, total excluding tax, total including tax, and grand total.
Maintain an existing document
Depending on status, the workspace provides Edit Refund Note Header, Add Product/Item, Clone Refund Note, Delete Refund Note Draft, Void Refund Note, Cancel Refund Note, and Print Preview. Confirm the reason requested by a void or cancellation action.
The list displays Import From Excel, but self-billed bulk-import availability can differ by deployed release. Confirm that the action opens a CSV/TXT upload screen before preparing a batch. See Bulk Import.
Monitor the result under LHDN Submission → Self-Billed Refund Note.
